Summary of the job:

The Logistics Assistant (Funds Management and Billing) will be responsible for the following tasks under delegated authority:

Responsibilities:

  • Support logistical operations and activities by following standard procedures and supporting the successful distribution of food aid to beneficiaries, either directly or indirectly.
  • Create and update Transport Purchase Orders (TPO) using the relevant budget codes, vendor data, quantities, contract rates, and contract conditions in WFP’s Information Network and Global System (WINGS).
  • Closing and balancing payments of receipts on a daily basis
  • Maintain an orderly daily log of invoice receipts and invoices that have been handled.
  • Prior to the acceptance of service delivery confirmation, create and maintain Service Entry Sheets (SES) in WINGS after ensuring that PO information are true and connected to the services delivered.
  • Ascertain that service providers submit their claims on time, in accordance with WFP corporate transportation and logistics requirements.
  • Organize and manage a wide variety of paperwork processing for the execution of logistical activities (e.g., customs clearance, invoice verification), as well as take necessary action to resolve difficulties and suggest process improvements.
  • Support data reconciliation in country office and corporate systems in order to evaluate validity, verify correctness, and perform appropriate follow-ups in order to support informed decision-making.
  • Contribute to the budgeting, monitoring, and revision processes for all delivery modalities, ensuring adherence to appropriate procedures and corporate standards.
  • Collecting and compiling data, as well as producing and/or contributing to reports (e.g. financial closure, transport performance, invoice status).
  • Ensure that invoices, contracts, and correspondence relating to Logistics money management and invoice processing are filed properly.
  • Respond to a wide range of technical questions and requests for assistance, following standard procedures and getting guidance as needed.
  • Maintain a high degree of client service by ensuring fast and correct resolution of all inquiries.
  • To enable effective money management and invoice processing, communicate with a small number of internal and external stakeholders.
  • Follow up on open items (POs) and work with appropriate stakeholders to close those that aren’t essential.
  • Other responsibilities as assigned by the supervisor

Job requirements and qualifications:

  • Secondary school education must be completed.
  • A minimum of three years of relevant work experience in the logistics area is necessary.
  • Fluency in English, Dari, and Pashto, both orally and in writing.
